Event Readiness Diagnostic

Before You Plan Another Event, Identify What's Actually Missing

Vision clarity: Can you articulate the emotional outcome your guests should feel when they leave?
Vendor alignment: Are your suppliers working toward a unified aesthetic, or assembling separate pieces?
Timeline integrity: Do you have a day-of schedule that accounts for transitions, not just start times?
Contingency depth: Have you prepared for weather, no-shows, equipment failure, and guest flow bottlenecks?
Budget transparency: Do you know where every pound is allocated — and where hidden costs tend to surface?
Guest experience arc: Have you mapped the full arrival-to-departure journey, including sensory touchpoints?

Most event planning begins with a venue search. We begin with a question: what does a successful outcome actually look like for you?

At Curated Event Path, we operate on the principle that every occasion — whether a 30-person anniversary dinner or a 250-seat corporate gala — carries an invisible architecture. There's a rhythm to how guests move, feel, and remember. Our work is to make that rhythm intentional rather than accidental.

"Planning isn't about controlling every detail. It's about knowing which details matter enough to control — and having the clarity to release the rest."

We developed our diagnostic-first approach after observing a consistent pattern: hosts who invested weeks choosing centrepieces had never once mapped their guest flow. Couples who agonised over playlists hadn't considered the acoustic properties of their venue. Organisations that budgeted generously for catering forgot to allocate for signage, parking coordination, or post-event follow-up.

The diagnostic isn't a sales tool. It's a genuine assessment. Some clients complete it and realise they're more prepared than they thought — they only need day-of coordination. Others discover structural gaps that would have surfaced too late. Either way, the clarity is the starting point.

What We Don't Do

  • Generic Pinterest-board planning
  • Vendor kickback arrangements
  • One-size-fits-all packages
  • Rush engagements under 6 weeks
  • Events without a pre-diagnostic call

What We Always Do

  • Honest budget reality checks
  • Guest experience mapping
  • Vendor vetting and alignment
  • Written contingency protocols
  • Post-event debrief within 72 hours

Capability Matrix

We don't offer tiered packages. We offer modular capabilities you assemble based on your diagnostic results.

Capability What It Covers Typical Engagement Diagnostic Trigger
Vision Architecture Defining emotional outcomes, aesthetic direction, and narrative arc for your event 2–3 sessions over 2 weeks Unclear vision or conflicting stakeholder expectations
Vendor Orchestration Sourcing, vetting, contracting, and aligning all suppliers to a unified brief Ongoing from 8 weeks out More than 4 vendors without a coordination lead
Timeline Engineering Minute-by-minute scheduling with buffer zones, transition logic, and fallback triggers 1 intensive session + refinement No existing run-of-show or past timing overruns
Guest Flow Design Mapping arrival, movement, seating, and departure patterns for comfort and energy Site visit + schematic delivery Venue capacity over 80 or complex multi-room layout
Contingency Protocol Weather plans, vendor no-show procedures, medical readiness, and communication chains Document delivery + briefing Outdoor venue, remote location, or high-stakes occasion
Day-Of Direction On-site management from load-in through final departure, including vendor coordination Full day (10–14 hours) Any event without a designated on-site lead

The Decision That Changes Everything

Most hosts reach out to a planner after they've already made their three most consequential decisions: venue, date, and guest count. By that point, constraints are locked in.

The hosts who get the most from our work are those who call before the venue deposit — when every option is still open and the diagnostic can genuinely reshape the event's trajectory.

If you've already committed to a venue and date, we can absolutely work within those parameters. But know that the earlier the diagnostic happens, the more leverage it creates.

When to Reach Out

  1. You've set a date but haven't signed any vendor contracts
  2. You're comparing venues and want an experienced second opinion
  3. You've started planning but feel the details are multiplying faster than your confidence
  4. You inherited an event (corporate handoff, family obligation) and need to assess what exists
  5. Your event is 10+ weeks away and you want to do this properly

How an Engagement Typically Unfolds

Initial Diagnostic Call (30 minutes, complimentary)

We walk through the six diagnostic areas together. No pitch, no pressure. You'll leave with a written summary of where your planning stands and where the gaps are.

Scope Agreement

Based on the diagnostic, we propose which capabilities to activate. You choose. There's no minimum engagement — some clients only need timeline engineering and a contingency document.

"We only needed two of their six capabilities. They never once pushed us toward more." — A. Llewellyn, Brecon

Active Planning Phase

Depending on scope, this ranges from a single intensive week to a rolling engagement over several months. Communication is direct — email and phone, no project management portals or client dashboards to learn.

Pre-Event Briefing

Every vendor, every family member with a role, every venue contact receives a unified briefing document. No one arrives on the day uncertain of their responsibilities.

The Event Itself

If day-of direction is part of the scope, we're on-site from load-in. If not, we're reachable by phone for the duration.

Post-Event Debrief

Within 72 hours, a candid review: what worked, what we'd adjust, and any vendor feedback worth noting for future occasions.

Is This the Right Fit?

Honest indicators to help you decide before reaching out.

Strong Fit

You value preparation over improvisation. You want someone who will challenge your assumptions constructively. Your event matters enough to plan properly.

Likely a match

Moderate Fit

You've already planned most of it but want a professional review. You need day-of coordination but not full planning. Budget is defined but tight.

Worth a conversation

Likely Not a Fit

Your event is under 5 weeks away. You want someone to execute a Pinterest board exactly as shown. You're looking for the lowest cost option available.

Probably not right

From a Recent Client

"We came to Curated Event Path thinking we needed a wedding planner. What we actually needed was someone to tell us that our venue couldn't physically accommodate the dinner format we'd envisioned. That single insight — delivered in the first diagnostic call — redirected our entire approach. The wedding we ended up having was nothing like what we originally imagined, and it was immeasurably better for it."
